RUNNING REPORTS
As an administrator, you can view reports for the learners that are within or below the tier that you are an administrator of.
To do this select ‘View learner reports’ from the admin dashboard or select ‘Learner reports’ from the ‘Learners’ dropdown menu at the top of the page.
You will now be presented with a list of courses for all your learners and their courses. You can filter through these reports using ‘Click here to see filter options’ at the top of the page:
Within this function you can search by first name, last name, company, and course name. An explanation of other filter options follows:
Course status: This allows you to filter courses by ‘In progress,’ ‘Not started,’ or ‘Complete.’
Search sub accounts: By changing this to ‘Yes’ you can search in all tiers below the one you are accessing, not just the tier you are accessing.
Manually graded: This is an optional field used only for selected courses.
Active licenses: The ‘Active licenses’ menu allows you to view active licenses, expired licenses, or both in the same view:
Non-archived: The filters are set to non-archived as default. Selecting this dropdown menu allows you to select whether you would like to view archived licenses, or archived and non-archived in the same view:

These are optional fields that will only be available to specific Highfield e-learning customers who have paid for additional development.
Filter by archived/expired:
To filter for learners who have previously been archived or have had courses that have expired, navigate to learner reports. From here open the filter options, and if necessary, enter the details of the learner.
The above image displays the default layout for the filter options, to see all the expired licences, open the ‘Active Licences’ drop-down menu. By default, this setting will show only the active licences learners have on their accounts. To see all the licences, including expired ones, select ‘Both’ or ‘Expired Licences.’ If you are looking for a specific learner or course, these can also be filtered out using their respective filter options. Once all the required filters are filled in, select ‘Apply filters’ below.
Below you will see a list of learners, only the ones you have filtered for will appear. On this page you will also be able to expire a licence, or archive using the ‘Archive / expire options’ below the list of learners.
Downloading Learner Reports
Once you have filtered down to the list of reports you require you can export that report to a spreadsheet. To do this; select the ‘Download report (csv)’ button located above the list of reports and save the file. If you wish to make any changes to the csv it will need to be saved as another type of excel file to save the changes.
More Detailed Individual Reports
Within the progress column on the LMS you will find a graph icon. Clicking on this will provide a progress chart which indicates which modules are complete. Selecting Load Module Data will display a breakdown of each module including the date first and last access, the time spent completing the module in hours and minutes, and the status of each module; passed, failed, or incomplete.
