Using the refresher function, learners will be able to re-sit a course at any time whilst keeping the same learner profile.
Please note a license must be available on the account to assign a refresher course, just like issuing a standard course to a learner.
e-learning refresher courses are no different to standard e-learning courses.
Below are instructions on how to enrol learners onto a refresher course:
Enrol Individual Learners on a Refresher Course
You can enrol individual learners onto a refresher course at any time through Learners > Learner Reports. You will see a ‘Refresh Course’ symbol in the ‘Options’ column on the right. If there is no ‘Refresh Course’ symbol the course is not eligible for the refresher option. This may be due to the course being archived following a content or software update. For example, Food Safety Level 3 (2023) is an archived course and was replaced by Food Safety Level 3 with no year in brackets following the course title. If this is the case and you would like the learner to re-sit the course, please use ‘Add Course’ in Manage Learners instead.
Provided there is a ‘Refresh Course’ icon next to a course in Learner Reports and you would like a learner to refresh a course they have already completed, or partially completed, please select it.
A new page will load, and you will then need to select the license type as usual. Usually, there will be only one option, but occasionally there maybe more.

Once the ‘License type:’ fields are populated, select the ‘Add Refresher’ button and the below notification which will pop-up:
Select ‘Cancel’ to abort the process or ‘Yes’ to confirm your understanding and continue.
Following the successful assignation of a refresher course to a learner, the e-learning administrator will receive an onscreen notification and if the learner profile includes an email address, the learner will be also notified by email.
Enrolling Multiple Learners on a Refresher Course or Course
Admins can also use Learners > Enrol/Refresh existing learners which works similarly to the above process but allows the administrator to add or refresh courses to multiple learners in a particular tier. Selected learners will all receive the same course at the same time.
Following selection of Learners > Enrol/Refresh existing learners admins will be presented with the following page:
Whether enrolling learners onto a new course or refreshing an existing course the process is the same:
- Select the course you would like to refresh (This is already populated in the initial process, but in this process, it is optional).
- Select the name of the tier (Company, Division, or Site) which contains the learner account(s)
- Select ‘Get learners’
This will bring up a list of learners within that tier. The administrator should follow instructions onscreen to choose which learners will be assigned the refresher course.
Refresher learning archive
Located in the ‘Learners’ dropdown on the toolbar. This is a useful page to visit to access information about courses that have been archived because a refresher course has been assigned.
This works similarly to ‘Learner reports’
The previous course progress is displayed here and will show as ‘Expired.’
Information about the previous course will be available whether it was completed or not.
The previous certificate of completion will be available to the e-learning administrator until the learner completes the refresher course. When the refresher course is completed, this information is deleted as it will no longer be required, as the new certificate of completion supersedes the previous one.
There will be no learners in the Refresher learning archive on your account until learners have completed a refresher.
